Privacy Policy

1. Who we are and what this covers

This Privacy Policy explains how Hoodwashers Operations Inc. (“Company,” “we,” “us”), 150 W 1450 N, Provo, UT 84604, collects, uses, shares, and protects information through HoodOS (the “Platform”), including the HoodOS QuickBooks Online integration (the “Integration”). It applies to businesses that use HoodOS (“Customers”), their authorized users, and the people whose information Customers enter into HoodOS, such as their own clients.

This policy is part of, and should be read with, the HoodOS QuickBooks Online Integration End User License Agreement at https://shineiq.com/eula. Capitalized terms not defined here have the meanings given in that Agreement.

Our role. For information Customers enter into HoodOS about their own clients, jobs, invoices, and payments (“Customer Data”), we act as a service provider and process it on the Customer’s instructions. The Customer decides what to collect and is responsible for its own notices to its clients. For account, billing, and usage information about Customers and their users, we decide how it is used, as described below.

3. How we use information

We use information to:

  • provide, operate, and maintain HoodOS and the Integration, including syncing invoices and payments to QuickBooks Online;
  • send transactional messages, such as invoices, receipts, appointment notices, and account alerts, by email or text;
  • process subscription billing;
  • provide support and respond to requests;
  • secure the Platform, detect and prevent fraud or abuse, and troubleshoot errors;
  • improve the Platform using aggregated or de-identified usage data; and
  • comply with law and enforce our agreements.

We do not sell personal information, share it for cross-context behavioral advertising, or use Customer Data to market to your clients. We send you product or marketing emails only about HoodOS, and you can opt out at any time.

4. QuickBooks Online data

Access. The Integration connects only after an administrator of your QuickBooks Online company authorizes it through Intuit’s sign-in. We never see your Intuit password. We store the access and refresh tokens Intuit issues, encrypted, and use them only to run the Integration.

Scope. We request accounting access to read the lists needed for mapping (customers, products and services, tax codes, accounts) and to create or update the customers, invoices, and payments you sync from HoodOS. We do not access payroll or banking credentials, and we do not move money through QuickBooks.

Limits. We use QuickBooks Online data only to provide the Integration and support you. We do not sell it, use it for advertising, or share it with anyone except the service providers in Section 5 who help us run the Platform, or as you direct or the law requires.

Disconnecting. You can disconnect in HoodOS settings or from the connected apps page in your Intuit account. When you do, we revoke and delete the stored tokens and stop syncing. Records already written to QuickBooks remain in QuickBooks.

5. How we share information

We share information only with the service providers below, bound by contract to use it only to provide services to us, and in the other cases this section lists.

Information shared with our SMS provider is used only to deliver messages and is never used for marketing, as described under Text messaging (SMS).

We may also disclose information:

  • at your direction, such as when you send an invoice to a client;
  • for legal reasons, to comply with law, a subpoena, or a court order, or to protect the rights, safety, or property of Company, our Customers, or others;
  • in a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy’s protections; and
  • in aggregated or de-identified form that cannot reasonably identify you or your clients.

Text messaging (SMS)

If you give us your mobile number and agree to receive text messages, Hoodwashers Operations Inc. may send you texts about your service. These include appointment confirmations and reminders, technician arrival notices, service reports, invoices and payment receipts, and replies to your questions. Message frequency varies with your service schedule. Message and data rates may apply.

No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party. We share mobile numbers only with the service providers that deliver our messages, such as our SMS platform and wireless carriers, and only so those messages can be sent.

You can opt out at any time by replying STOP to any message. For help, reply HELP or contact us at hello@shineiq.com or 888-334-0577. Carriers are not liable for delayed or undelivered messages.

6. Retention, deletion, and security

Retention. We keep account information and Customer Data for as long as your HoodOS account is active. After your account closes, or after you request deletion in writing, we delete QuickBooks-sourced data and Customer Data within 30 days, except where we must keep records longer for legal, tax, or dispute purposes. Backups roll off on their normal schedule, typically within [90] days.

Security. We use administrative, technical, and physical safeguards, including encryption in transit (TLS 1.2 or higher), encryption of stored QuickBooks tokens, role-based access limited to personnel who need it, and logging of access to production systems. No system is perfectly secure, so we cannot guarantee absolute security.

Incidents. If we confirm unauthorized access to personal information we hold, we will notify affected Customers without undue delay and as required by law, and will notify Intuit where our developer obligations require.

7. Your choices, rights, and contact

Account holders. You can review and update account information in HoodOS settings. You may ask us to access, correct, export, or delete personal information we hold about you by emailing hello@shineiq.com. We will verify your identity before acting and respond within the time required by applicable law, generally 45 days. Depending on where you live, state privacy laws may give you additional rights; we will honor them where they apply, and you may appeal a decision by replying to our response.

Your clients. If you are a client of a business that uses HoodOS, that business controls your information. Please send requests to that business; we will assist it in responding.

Text messages. Reply STOP to any text sent through HoodOS to stop receiving texts from that sender, or HELP for help. Message and data rates may apply.

Marketing email. Use the unsubscribe link in any marketing email. We will still send transactional and account messages.

Children. HoodOS is a business tool not directed to children under 13, and we do not knowingly collect their personal information. If you believe we have, contact us and we will delete it.

Changes. We may update this policy by posting the new version at https://shineiq.com/privacy with a new effective date. For material changes, we will notify Customers in HoodOS or by email at least 30 days before they take effect.
